Privacy Policy

Overview
This Privacy Policy describes how Polici handles information when you browse public pages, run Pre-Check, upload a video for transcription or analysis, or unlock the temporary source-management gate. Polici presently operates as a public product without end-user accounts or private workspaces.
Information we collect
- Pre-Check submissions. We store the text you submit, any optional context you add, and any on-screen text you choose to include in a saved Pre-Check run.
- Saved evaluation data. When a Pre-Check is saved, we store the resulting statuses, explanations, risky phrases, suggested rewrites or calls to action, triggered themes, matched topic slugs, related change IDs, confidence values when available, and timestamps.
- Uploaded videos. When you upload a video in Pre-Check or Video Analyzer, the file is written to temporary storage so we can extract audio, sample frames, and produce transcript or OCR output. Those temporary files are removed after the request completes. Video Analyzer results are not automatically added to saved check history, but transcript or on-screen text that you later submit through Pre-Check can become part of a saved run.
- Technical and admin data. Our hosting and infrastructure providers may process standard request metadata, such as IP address, user agent, and timestamps, in server logs. If the temporary source-management gate is enabled, we also set a limited HTTP-only cookie to keep that admin session open.
How we use information
- To run Pre-Check, Video Analyzer, transcription, OCR, and related workflows.
- To save and reopen Pre-Check results by direct result link.
- To generate aggregate Pre-Check analytics from saved runs.
- To operate the policy library, source scans, internal alerts, and quality checks.
- To debug, secure, and maintain the service.
How saved result visibility works
Polici does not currently provide customer accounts or private workspaces. Saved Pre-Check results are retrieved by direct identifier and may be reopened by result URL. Anyone with the exact link may be able to view that saved result, so you should not submit confidential, personal, or otherwise highly sensitive material.
Third-party services and processors
- Anthropic. Used for certain AI-assisted Pre-Check evaluations, frame-based OCR, and video-analysis output.
- Groq. Used for audio transcription in video workflows.
- OpenAI-backed workflows. Used for internal enrichment and summarization of monitored policy-source content.
- Hosting and database providers. Used to run the application and store saved records.
We do not sell submitted Pre-Check or video-analysis data.
Retention
Saved Pre-Check runs remain in our database until they are manually removed or are no longer needed to operate the service. We do not currently offer a self-service deletion tool. Temporary video-processing files are deleted after processing, subject to normal system cleanup behavior.
Cookies and similar technology
We currently use a limited HTTP-only cookie for the temporary source-management gate when that feature is enabled. We do not currently rely on analytics cookies, browser localStorage, or sessionStorage for the public product experience.
Security and sensitive data
We use reasonable measures intended to protect the service, but no internet service is perfectly secure. You should avoid submitting trade secrets, payment-card data, medical records, government identifiers, or other highly sensitive personal information.

To request deletion of a saved Pre-Check run or ask a privacy question, please email [email protected]. Support for Polici is currently handled through the DraftPilot support inbox. We may revise this Privacy Policy from time to time by posting an updated version on this page.
